In 2021, Belgium embassies around the world received 50,796 applications for Schengen Visas. 8,971 were rejected. The Embassy of Belgium in Mumbai received 4,775 applications and rejected 365. The embassy in New Delhi received 1,613 and rejected 195 applications.
Applying for a Belgium Schengen Visa from India
If you are a national of India, you will need to apply for a visa to be able to enter and stay in Belgium.
You can apply for your visa up to 6 months in advance of your trip.
The Belgian Embassy in New Delhi processes visa applications, but you will submit your application to VFS Global which has offices in Delhi, Chandigarh, Kolkata, Chennai, Bangalore, Hyderabad, Mumbai, Pune, Ahmedabad, Jalandhar, Gurugram, Goa, Cochin, Thiruvananthapuram, and Puducherry.
Types of Schengen visas offered at The Embassy of Belgium in India
There are different types of visas available and the one you need to apply for depends on the reason you are traveling to Belgium.
- Short-term C visa – for trips up to 90 days for tourism, visiting family/friends etc.
- Long-term D visa – for trips over 90 days for work, study, family reunion etc.

Step 1 – Identify visa type
Go to VFS Global’s website and click on “Start now”:

Click on the drop-down menu and you will see either short-term or long-term visa. Click on the one you want:
You will then see information about visa fees, documents required, photos etc. Read this fully before proceeding to the next step:
Step 2 – Begin your application
The next step is to begin your application. Go to “step 2” and click on the link to download the visa application form:
Choose what visa you are applying for again and click on the tab for the online application form:
Click on the link:
You will be directed to Visa on Web. If you haven’t got an account already, click on “not registered yet”:
Register as a new user by completing the requested information:
You will then be able to log in and complete your application form online. You will receive a copy of the visa application form via email. You must print and sign the form because you will need to take it with you to VFS Global when you submit your application.
Step 3 – Book an appointment
Making appointments with the embassy, consulate or visa application center is generally free and can be done yourself. Step 4 – Pay your fees
When you go to VFS Global to submit your application, you will be asked to pay the visa fee and service fee. These fees are payable in the local currency and they are non-refundable.

Please note, that if you are applying at VFS Delhi/Chandigarh/Kolkata/Jalandhar/Gurugram, the fee can be paid only in cash.
If you are applying at VFS Mumbai/Ahmedabad/Bengaluru/Cochin/Chennai/Hyderabad/Goa/Pune/Trivandrum/Puducherry, the visa fee and VFS services charges can be paid by Cash/Demand Draft/Card and UPI.
There is also a service fee that VFS charge for every application:
- INR 2306/- per application for Delhi and Mumbai centers (All VFS’s service charges are inclusive of Goods and Service Tax – SGST @ 9% and CGST @ 9%)
- INR 2306/- per application for Chandigarh, Kolkata, Bengaluru, Ahmedabad, Chennai, Pune, Hyderabad, Goa, Kochi, Thiruvananthapuram, Puducherry, Jalandhar and Gurgaon centers (All VFS’s service charges are inclusive of Goods and Service Tax – SGST @ 9% and CGST @ 9%)
- Admin Fees of INR 150/- payable if the payment is made via Credit/Debit Card
Step 5 – Visit a visa application center
On the day of your appointment:
- Aim to arrive 15 minutes before your appointment
- You must attend the appointment for your visa application. You cannot send someone in your place
- Only applicants and one parent/caregiver accompanying a child under 18 years are permitted to enter the offices of VFS Global
- Bring a printed copy of your visa application, 2D barcoded sheets (2 copies), passport bio page (2 copies), as well as a valid passport or travel document with at least 2 pages that are blank on both sides
- Bring all supporting documentation (originals and copies)
- If you haven’t paid your visa fee online, you can pay your fees once you get to the center
- You will also need to submit your fingerprints and photograph. This is known as biometric information collection and without this, your visa application will not be processed
- If you miss your appointment on the scheduled day, you will need to book a new appointment after 24 hours from your original appointment date.
You may also be asked questions about your trip. If this happens, simply answer honestly. Example questions include:
- Where do you live?
- Are you planning on working in Belgium?
- Do you know anyone in Belgium?
- Do you have permission from your employer to have time off to travel?

Step 6 – Track your application
You can track your application by going to “step 6 – track your application” and clicking on the link:

Step 7 – Collect your passport
After a visa application decision has been made, you can either:
- Pick up your passport from VFS Global – you will need to provide the receipt issued and your ID
- Have your passport returned to you by courier for an additional fee
Please check with VFS Global for the options available to collect your documents when you submit your application.
The decision will be either:
- Accepted – you will find your visa attached to one of the pages in your passport
- Rejected – your application may be rejected for a number of reasons and you will be notified why your application was denied
Reasons for a rejected application include:
- Purpose of your trip is not clear – you must be clear as to why you wish to travel to Belgium. You can provide as many documents as you wish, but they must back up your reason for traveling
- False documents – do not attempt to provide false documents because you will be found out and it could affect your ability to travel in the future. If you cannot provide certain documents, talk to VFS Global and/or the embassy as there may be an alternative
- Insufficient funds – you must be able to afford your trip and you should provide evidence that you can do so, such as bank statements
- You already have a Schengen Visa – if you have applied for a Schengen visa in the past, it may still be valid, so check your passport before applying
Documents Required
There are certain documents that you must provide and other documents required for each type of visa, so it’s a good idea to check what is needed before you apply and submit your application to avoid the disappointment of a rejected application and a cancelled trip! You should also submit photocopies along with original documents.
Documents include:
- A fully completed and personally signed application form
- National passport with validity of at least 3 months after the end of the planned journey
- Completed and signed application form with 1 recent color photograph (5x3cm) with white
background glued on the application form (see full photograph specifications ) - Copy of the identity page of your passport and copy of the most recent Schengen visa with stamps
- Full detailed itinerary
- Copy of hotel reservation for the total duration of the stay in Belgium, and in other countries in the Schengen Area (if applicable)
- Letter of employer, stating your income and your vacation days allowed (if employed), or certificate from school stating your vacation days allowed (for students)
- Proof of sufficient personal financial means – copy of bank-book / 3 months bank statements/income tax papers/salary slips
- In case of a minor who has not reached the age of 18 years AND is travelling with one of the parents only or alone: a notary affidavit mentioning the consent of the parents must be submitted. This document needs to be apostilled
- Copy of travel insurance (insurance valid in Belgium (and other Schengen countries), coverage minimum 30,000 Euros or equivalent amount in Rupees
- Copy of flight ticket reservation
- Invitation letter from the Belgian Company stating the exact purpose and period of the visit & confirmation letter of the company in India explaining the purpose and duration of the journey and the guarantee to cover all costs that may arise during the stay in Belgium (for business trips)

COVID REGULATIONS
From 23 May 2022, the ban on non-essential travel from third countries to Belgium is lifted. From this date, there is no requirement to:
- Test on days 1 and 7, the 10-day quarantine
- Submit a Passenger Locator Form (PLF)
- Present a valid vaccination, recovery or testing certificate
