    If you are a Canadian citizen, you do NOT need to apply for a visa to go to Poland, but if you were not born in Canada you DO need a visa for Poland. However, you must live in Canada on a permanent basis.

    There are several visa offices that you can choose from, but the one you need to submit your application to depends on the area you live in.

    2. Consulate General of Poland in Montreal if you live in Quebec, Nova Scotia, Prince Edward Island, New Foundland and Labrador, New Brunswick
    3. Consulate General of Poland in Toronto if you live in Ontario (except Ottawa region), Manitoba, Saskatchewan and Nunavut
    4. Consulate General of Poland in Vancouver if you live in British Columbia, Alberta, Yukon, Northwest Territories

    Types of Schengen Visas Offered at the Embassy of Poland in Ottawa

    There are 3 types of visa that you can apply for:

    1. Schengen visa – for holidays, business and visits to family and friends for a maximum of 90 days
    2. Airport Transit visa if you are a citizen of Afghanistan, Bangladesh, The Congo, Eritrea, Ethiopia, Ghana, Iran, Iraq, Nigeria, Pakistan, Sudan, Sri Lanka. Holders of this type of visa re not allowed to leave the airport transit area of the airport
    3. National visa – for work, studies, au pair, family immigration etc., for stays over 90 days but less than 1 year

    You may submit your application as long as 3 months ahead of your departure date but no earlier than 15 days before. You should receive a decision within 15 days, although it could take longer depending on the type of visa you are applying for. Just don’t apply too early or leave it too late. You should aim to apply 90-15 days ahead of when you plan to fly to Poland.

    Step 2: Make an appointment

    Step 3: Prepare your documents

    The embassy has document checklists which you can use to find out what documents are required for your type of visa. It’s a good idea to familiarize yourself with these before you start to prepare your documents as it will save you time later.

    You should also prepare photocopies as well as providing the original documents, so don’t forget to do that too!

    Documents include:

    1. Visa application form – completed and signed with a bar code and registration number
    2. Passport photographs x 2
    3. Passport  – must be valid for at least three months after the date of departure from the Schengen zone, at least two empty pages and issued no more than 10 years ago
    4. Evidence of immigration status in Canada allowing your re-entry. Your Canadian reentry visa sticker must be valid at least 3 months after your departure from the Schengen zone. If you are a landed immigrant in Canada, you must provide your PR card
    5. Travel itinerary/airline reservation Tickets should state your intended date of arrival in the Schengen area and intended date of departure from the Schengen area
    6. Proof of Schengen travel medical insurance valid for the entire length of your stay in the Schengen zone, covering medicine, hospitalization, repatriation, death, pregnancy, for a minimum of 30,000 Euro (about 50,000 CAD)
    7. Proof of funds (at least 100 PLN, approx. 37 CAD, per day of stay in Poland), e.g.: last 3 bank account statements with name and address of owner(s) or student loan agreement.
    8. Hotel reservation or other proof of accommodation
    9. Invitation letter issued by the Voivodship Office where your Polish host is residing
    10. Business trip: original letter from your Canadian employer confirming your position and the fact that a business trip to Poland is intended (if self-employed the original business registration is required)
    11. Transit: transport documentation, for example, a rail/plane ticket and a visa to the final destination country
    12. Participation in cultural, economic, political, scientific or sports events: invitation or notification by the organizer
    13. Scientific activity, training, teaching, volunteering: letter of acceptance of admission from the receiving organization
    14. Studies: certificate of enrollment issued by the Polish University and proof of paid tuition fees
    15. Work: work permit or Certificate of Employment (only language teachers
    16. Birth certificate (translation into English if applicable)
    17. For minors living in Canada with a guardian (and not a parent) – document proving the guardianship; For minors not travelling with their parents: a parental authorization

    On the day of your appointment, arrive early and do NOT forget your paperwork to avoid a missed appointment or a rejected visa application. It’s also a good idea to dress smartly to make a good first impression.

    The visa officer may ask you questions about your application if they want to clarify anything. All you need to do is keep calm, smile and answer honestly.

    The visa fee will also need to be paid. The embassy accepts money order or certified cheque payable to the Embassy of the Republic of Poland in Ottawa. This fee is non-refundable.

    You will also provide a scan of your fingerprints and a photograph if this is your first time applying for a visa. If you have applied before, your data can be used again as long as it is within 5 years.

    Step 5: Receive your visa

    If you want your passport returned by mail, you should provide the embassy with a self-addressed, prepaid and registered Canada Xpresspost envelope at the time of application. Otherwise, you can collect it from their office.

    The decision will be either:

    1. Approved – your visa will be inside your passport
    2. Rejected – this would have been for a specific reason

    Common rejection reasons include:

    1. Invalid passport – if your passport does not have 2 free pages, was not issued in the last 10 years or it is not valid for 3 months after your return date, you need to get a new one before applying for your visa
    2. Work contract not provided – if you are going to Poland to work, you need to provide a work contract from your employers there
    3. Hotel reservation not provided – you must show the embassy where you will be staying while you are in Poland
    4. Application form errors – if there are any errors, especially spelling mistakes, this could lead to a rejection, so check the form before you submit it
