    Canadian citizens do not have to apply for a visa to be able to visit Denmark as long as the trip does not exceed 90 days. If you are not a Canadian citizen, but you live in the country on a permanent basis, you DO need to apply for a Denmark visa. You can do this easily from Canada as long as you can prove that you have a legal right to remain.

    The Embassy of Denmark in Ottawa has outsourced the processing of visa applications to VFS Global, so you will submit your application to one of their offices instead.

    You have to make sure you apply at the right Denmark visa application center, however, you are usually able to submit your application to the one which is most convenient for you.

    Please note, even though you will submit your visa application to VFS Global, it is still the embassy in Ottawa that will make the approve or reject decision.

    Types of Schengen visas offered at the Denmark Embassy in Ottawa

    There are 3 types of visas you may apply for and the one you choose will depend on the reason and duration of your trip:

    1. Schengen visa – type C: If you are traveling for tourism, business, or visiting family or friends for up to 90 days
    2. Airport Transit visa (type A): if you are transiting through an airport in Denmark to catch a connecting flight
    3. National visa – type D: if you are going for longer than 90 days for employment, study, research, family reunification or residence

    How to Apply for a Schengen Visa from the Denmark Embassy in Ottawa

    Processing times depend on case volume. It’s usual to expect longer processing times in May, June, July, August and December due to peak season travel.

    You can submit your application as early as 3 months prior to the arrival date in Denmark. It’s advisable to apply at least 18 days prior to your trip. Please be aware that it can take up to 14 days to obtain an appointment with VFS for submitting your application. Plus, processing of your application will not begin until your application arrives at the embassy, so you should allow an extra 2-4 days to the processing time.

    Normal processing time at the embassy is 15 calendar days but it could take as many as 60 days depending on what type of visa you are applying for and other factors such as whether you have previously overstayed in the Schengen area.

    Step 1: Complete your application form

    To complete your application form, go to the embassy’s website and click on: “Travel and Residence” and then “Visas”:

    You will have to register and create a new account:

    Then you will be able to complete your application, pay the fee, and print the cover letter which you will need to submit along with your other documents.

    Steps 1 -4 can be done online and step 5 will be done in person at VFS Global:

    3) Pay an amount in the web shop to cover the fee payment
    4) Print and sign cover letter
    5) Supply biometrics and supporting documents

    Step 2: Make an appointment

    Making appointments with the embassy, consulate or visa application center is generally free and can be done yourself.     Step 3: Prepare your documents

    You will find document checklists on the embassy’s website under: “Step 2: Collect documents”. It’s a good idea to read these first because there are different requirements for different visas. Please note that documentation is accepted only in English, Danish, Norwegian and Swedish.

    You should also prepare photocopies as well as providing the original documents, so don’t forget to do that too!

    Documents include:

    1. Visa application form – completed and signed
    2. Passport photographs
    3. Cover letter
    4. Receipt for fee
    5. Passport  – must be valid for at least three months after the date of departure from the Schengen zone, at least two empty pages and issued no more than 10 years ago
    6. Passport identity page (incl. extension and name alteration pages if applicable), previous Schengen visas (including all entry and exit stamps) for the last 5 years, as well as any valid UK and American visas
    7. Re-entry permission to Canada, i.e. Permanent Residence Card, Canada Visa etc. Canadian visa is also required both valid for at least 90 days after your return date from the Schengen area
    8. Photocopy of valid provincial health card – must show expiry date
    9. Residence permit or Canadia visa (multiple entry) valid for at least 3 months after departing the Schengen area
    10. Travel itinerary/airline reservation
    11. Proof of travel medical insurance – must clearly state the name of the insured as well as the coverage dates. Must include the following: Minimum €30,000 coverage, no deductible, repatriation in case of illness and death
    12. Proof of financial means such as bank statements showing most recent 90 days of transactions. If your trip is self-financed: $95 per day; If your accommodation is covered: $35 per day; If all costs are covered: $10 per day
    13. Hotel reservation or other proof of accommodation
    14. Letter of invitation stating the exact dates of the visit along with host’s passport data page and residence permit
    15. A letter of consent (for minors) along with the parent or guardian’s passport data pages and birth certificate
    16. Letter from your employer confirming your start date and continued employment. If you are self-employed please submit your business registration or letter of enrolment from educational institution indicating start and end date of your studies

    If this is your first time applying for a Schengen visa, you will have to provide biometric data which is a photograph and a scan of your fingerprints. If you have previously provided this data, it can be reused as long as your new application is within a 5 year period.

    When a decision about your visa has been reached, you will either:

    1. Collect your passport from VFS Global
    2. Have your passport returned to you by mail

    You should check with VFS Global what method is available to you.

    The decision will be either:

    1. Approved – your visa will be inside your passport
    2. Rejected – this would have been for a specific reason and you can appeal the decision

    Common rejection reasons include:

    1. You failed to provide an invitation letter – if you are being invited to Denmark by a person or a company, you must provide an invitation letter
    2. Lack of funds – you must be able to afford your trip either by yourself or by providing proof that someone else is funding you. Either way, you must make it clear that you can sustain yourself financially
    3. The embassy is not sure whether you will return to Canada – you must make it clear that you have an intention to return to your home country. You can do this by providing documents to prove that you have ties there such as a work contract or that you own property etc
    4. No flight reservation – it is mandatory to provide proof that you have a return flight reservation. Without this, the embassy cannot be sure you will return home, so you need to present this when submitting your application
